How to use the ExamOnline proctoring portal

Step 1:

After accessing the proctor portal, it is necessary to log in using your distinctive credentials. Additionally, if LMS integration has been done/used, then you have the option to use "single sign-on" for logging in. You can easily switch between preferred languages within the portal by clicking on the dropdown at top right corner. 




Step -2 :
Allow access to camera and microphone upon successful login.


Authorization by Proctor

Upon logging into the proctoring portal, you will find the candidates awaiting authorization, displayed in the left , as illustrated in the image. Clicking on a candidate will trigger a pop-up on the right (as demonstrated in the image), providing comprehensive candidate information which includes :

i) Candidate Details

ii) Candidate View

iii) Candidate Log

iv) Send a message to candidate.

 


Candidate Details:

 In here you can view the unique ID along with the snapshots of candidate and his/her ID. 





Candidate View:

In here you can see the live feed of the primary camera and secondary camera view of the candidate. You can authorize or reject the candidate from here.

There are 2 types of authorization:

1)Photo: In this type of authorization, the candidate will be auto-authorized. If the auto authorization fails then manual authorization will be done and the candidate will be evaluated based on the picture of self and ID card. Additionally, the proctor has the capability to observe live audio and video feeds of the candidate and engage in chat communication as needed.

2) Video: In this type of authorization, the candidate will not be auto-authorized. Only manual authorization will be done and the candidate will be evaluated based on the picture of self and ID card. Additionally, the proctor and candidate have the option to engage in video and audio interactions, allowing both parties to see and talk to each other and engage in chat communication as needed

 



If the proctor identifies any disparities in the snapshots uploaded by the candidate, he/she can reject the candidate by putting a rejection message in the space provided (as shown in the image). 






Candidate Log:

You can also see the candidate log ( all the activities performed by the candidate, warnings given by the AI along with the messages sent by the candidates to the proctor or vice-versa)  by clicking on “ the down arrow “ as shown in the image.





Send a message to the candidate:

In here you can send and receive messages from the candidate.

 


Candidate View when he/she is in the authorization window

While in the authorization queue, candidates must wait until a proctor is assigned to them. After a proctor is assigned, both the candidate and proctor can communicate through chat, video, and audio bidirectionally, depending on the authorization type. The authorizer has the ability to request the candidate to display their surroundings if necessary and provide instructions if the uploaded images are deemed inadequate or invalid. 

  



Step-3:

Proctoring

Once the authorizer grants authorization to the candidate, they will move to the proctoring window. In this window, you have access to a live feed of the candidate, their screen, and a secondary camera view (as depicted in the image).

Termination controls: When the examination starts the proctor has the controls to "pause" and "end test" of the candidate if needed, as shown in the image.

 



There are some utilities in the proctor screen which are:

      1)    Broadcast message:

      2)    Thumbnail live view

      3)    Expanded view

      4)    Individual candidate features

a)     Full screen

b)    Mute

c)     Picture in picture

      5)    Alerts

a)     Red alert

b)    Blue alert

 

Broadcast message:

You can also send a message to all the candidates associated to the proctor by clicking on the "broadcast icon," as illustrated in the image, and entering the message in the provided field.

 

Thumbnail live view:

You also have the option to simultaneously monitor the live feeds of all the candidates (thumbnail view) under your supervision by selecting the button as displayed in the image.

  


Expanded view:
This feature gives an expanded view of the proctor screen.





Individual candidate features

a)    Full screen

b)    Unmute

c)     Picture in picture

 

You can also enter a full-screen view of a specific candidate, unmute them, and utilize the picture-in-picture feature to minimize their feed to a corner while concurrently observing the whole screen. You can do this by clicking on 3 dots present on the thumbnail view of each candidate.

  



Alerts: 

Red alert: The appearance of a red border on the candidate's live feed screen indicates the presence of AI-generated warnings. Once the proctor notices this red border, they can access the candidate's logs or message section and take appropriate action. (As shown in the image)




Blue alert: When the borders begin to blink in blue and the chat icon (as depicted in the image) turns blue you can observe messages received by the candidate. You can directly message to the candidate by just clicking on the chat icon as shown.
