Proctor Pre-Allocation Guide

Proctor Pre-Allocation Guide

Proctor pre-allocation allows administrators to assign specific proctors to candidates before the exam. This ensures smoother exam execution and enables controlled allocation based on defined criteria such as candidate gender or custom grouping requirements.

Key Benefits of Proctor Pre-Allocation

  • Ensures proctors are assigned in advance of the exam.

  • Supports gender-based allocation of proctors to candidates.

  • Allows differentiation of candidates within the same exam based on specific criteria (for example, separate proctors for different candidate groups).

Step 1: Log in to the Admin Portal and navigate to the Users section.

Step 2: Click on Create User to add a new proctor.

Step 3: In the new window, enter the following proctor details:

  • Email (This would be used as the login ID for the proctor)

  • Name

  • Password

  • Phone

  • Roles (select Proctor)

  • Gender (optional but recommended for gender-based allocation)

Click on Save & Next.

Step 4: Select the checkbox for the exam to which the proctor needs to be associated. Click on Save & Exit.

Repeat the above steps until all required proctors are created and linked to the exam. (or you can bulk upload the proctors)

An Excel file will be downloaded containing:

  • All Candidates – list of all registered candidates

  • Proctors – list of available proctors

Step 9: Open the Excel file and go to the Unallocated Candidates sheet.

Based on the allocation requirement:

  • Allocate proctors according to candidate gender, or

Copy the proctor email IDs from the Proctors sheet and paste them against the respective candidates.
Save the file after completing the allocation.

Step 10: Return to the Allocate Proctor screen in the portal, click on Upload

Step 11: Select the updated Excel file, and upload it.

Step 12: After uploading, verify the allocation status on the same screen or from the dashboard. Ensure that all candidates are successfully allocated and no candidates remain unassigned.
